Inventory and working capital

Reduce stock and working capital tied up. Anticipate inventory stock-outs.

Holding more stock does not always prevent shortages of critical materials. Activa crosses stock on hand, consumption and open orders to identify replenishment risks and help decide where to act. With better visibility of deliveries, your team can review stock levels and free up capital without losing sight of operational continuity.

Available for a pilot with your data: with a stock and open-orders extract we show you your real alerts before you decide anything.

The problem

Excess stock of some materials. Shortages of the ones you need.

Even with an ERP, it can be hard to connect how much stock there is, how much is consumed and whether the orders that replenish it will arrive on time. That visibility gap can lead to precautionary purchases and tied-up capital, while shortages, emergencies and risk to the operation keep showing up.

What it calculates

An explainable priority for every item, not an endless red list

Severity

Critical or alert depending on the distance to safety stock, with configurable margins. If the item has no safety stock defined, the alert says so instead of making one up.

Replenishment status

For every item at risk, whether an order replenishes it and where that order stands: none, overdue, due soon or on time.

Priority from 0 to 100

Four factors, always the same and always visible: urgency, financial impact, supply and severity.

Value of pending replenishment

The value of what remains to be replenished, added up per buyer and for the whole operation. It sizes the pending replenishment; it is analyzed together with the criticality and the operational consequences of the shortage.

Suggested action

One per item, according to its situation: what to do and how much to order.

What each person receives

First thing Monday, every buyer knows what to look at

Buyer

A weekly consolidated email with their items at risk, ordered by priority, and the full detail attached in Excel.

Head of procurement

The same consolidated view for the whole operation, with the buyer column.

Dashboard

Indicators, the "for today" list and the week's delta: new alerts, resolved, moved up to critical and moved down to alert. The arrow says which way the number moved; the color says whether that is good or bad.

Connected to order follow-up

Anticipate, activate, improve: one loop

Every alert shows the orders that replenish the item and their status in the activation cycle. An overdue order with no reply from the supplier and an item below safety stock are the same problem seen from two places; Activa joins them. And the ranking closes the circle: a replenishment in the hands of a supplier who tends to run late weighs more in the priority.

Reduce stock with better-informed replenishment decisions

Less working capital tied up, with a focus on operational continuity

When delivery dates are uncertain, the team may build up stock to cover itself. With current supplier replies and alerts on critical materials, it can review those margins and assess where to reduce stock on hand. The reduction is validated per material, considering consumption, lead time, criticality and delivery reliability. We measure stock levels and working capital tied up together with stock-outs and emergencies.

What data it needs

What your ERP already has

You can start with reports exported from your ERP in Excel or CSV. We agree on the fields and the update frequency; we also assess an API integration according to your operation.
